Operation Executive

Job Description

The Operation Executive supports the day-to-day operational functions of a health-focused company, ensuring smooth execution of backend operations, accurate system updates, order fulfilment, inventory management and effective coordination between departments to support business growth.

Key Responsibilities:

System monitoring



Monitor and handle the membership systems to ensure they are running efficiently and to anticipate and resolve potential issues. Diagnose and resolve membership system problems for users. Assist in system testing when new plans or commission structures are launched - Support product listing updates, including pricing, stock status, and promotional items in the system. Coordinate with IT support company for system enhancements and troubleshooting.

Inventory Management



Monitoring inventory levels, coordinating with logistics and vendors to ensure timely product availability, manage shipping documentation, and handle returns and exchanges. Responsible for warehouse operation : maintain accurate records of stock movements, product adjustments, and inter-branch transfers.

Process Improvement



Identifying inefficiencies, developing, and implementing Standard Operating Procedures (SOPs) and strategies to optimize workflows, and increase productivity.

Event Support



Assisting with the logistics and execution of company events, such as training sessions, seminars, launching or conferences.

Administrative & Cross-Functional Support



Prepare and maintain standard operating procedures (SOPs), operational reports, and documentation. Liaise with internal departments (Finance, Marketing, Customer Service) to streamline workflow and improve operational processes. Prepare materials such as sales performance report, Distributors reward updates and other marketing campaigns result tracking.

Requirements



Diploma or Degree in Business Administration, Operations Management, or equivalent. Minimum 1-3 years of experience in operations, preferably within MLM, direct selling, or retail industry. Proficient in Microsoft Office (Excel, Word, PowerPoint); knowledge of MLM software is a plus. Independent and proactive approach, taking ownership of projects and responsibilities. Ability to work independently as well as part of a team in a fast-paced environment. Preferred Mandarin/ English communication
