Operations Team Lead

Job Description

The Operations Lead oversees the internal systems and day to day routine operations. This role ensures that all behind-the-scenes functions, from inventory and maintenance to vendor coordination and class scheduling.

Key Responsibilities


Operational Systems & Coordination



Oversee all backend operational processes, ensuring smooth alignment between front-end and backend teams. Maintain, document and optimize

SOP documentation

, ensuring all operational staffs are trained and compliant with the latest standards. Support marketing campaigns setup in Momence, including promo codes, class credits, and redemption tracking. Coordinate with the Marketing team to ensure class descriptions, event banners, and event schedules are accurate and up-to-date. Ensure all online inquiries are responded to promptly and professionally .

Inventory, Procurement & Vendor Management



Manage all

vendor relationships

, including suppliers for consignments, cleaning materials, maintenance, upkeep of the studio, and consumables. Collaborate with the Front End Supervisor to coordinate inventory restocking requests, including towels, refreshments, and shower supplies. Ensure a continuous and sufficient supply of all items. Conduct

monthly stock audits

and track inventory costs against budget. Oversee procurement, price comparison, and sourcing of new suppliers when required. Ensure preventive maintenance schedules for all studio equipment

Facilities & Maintenance



Coordinate with external contractors and service providers for equipment repairs, cleaning services, and facility upkeep. Ensure all areas of the studio are operationally safe and meet hygiene standards. Manage and track the

maintenance logbook

and ensure timely follow-ups for repairs and prompt resolution of issues. Oversee air-conditioning service schedules, lighting system upkeep, and sound system functionality to ensure optimal studio functionality and environment.

Reporting & Data Support



Support management in preparing

monthly coach reports,

including coach cancellations, requests of substitutions and others. Track

petty cash

, and ensure accurate documentation for purchases. Confirming and providing attendance verification for Studio Crews and incentive calculations. Monitor ClassPass and Momence bookings, flagging discrepancies for immediate resolution.

Scheduling & Staffing Support



Ensure class and studio crew schedules are aligned with operational capacity. Anticipate and plan for additional support during peak periods, events, and maintenance schedules.

Event & Project Coordination



Partner with Marketing and Front End teams for

studio events, collaborations, and private bookings

, ensuring operational readiness. Prepare backend setup (inventory, facilities, staffing) for all

special events

such as, product launches, or workshops. Coordinate with vendors for deliveries and setups before and after events.
Requirements

At least 2-3 years of experience in an administrative or operations role / retail , ideally within a fast-paced environment Excellent organisational and time management skills, with the ability to prioritise tasks and work under pressure Strong communication and interpersonal skills, with the ability to liaise effectively with people at all levels Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable with using various office equipment A proactive and solutions-oriented mindset, with a keen eye for detail Flexibility to adapt to changing priorities and a willingness to take on additional tasks as required
Job Type: Full-time

Pay: RM3,000.00 - RM3,800.00 per month
