Job Description


Principal Accountabilities : E2E Performance Management Template Letters for 1000 sites in the network which includes developing new template letters, planning for periodic performance reviews and monitoring the responses of the letters including the operational allocations by sites. Responsibilities :

  • Develop template, uploading, issuing and digital filing for audit/legal purposes of performancemanagement scope for 1000 sites that involves the day to day operations including specific site issues, which include organizing panelling sessions
  • Identifying Mobility panel members for sessions, for Retailers and follow up on documentation for assessment.
  • Organize official panelling sessions virtually or physically for Retailer (including the booking of meeting room/ venues)
  • Work closely with Legal/ TMs/HSSE/ WSM on operational legal matters relevant to the breaches
  • Work closely with PMTDR / HSSE / TMs on performance recognition letters for Retailers
  • Organize & digital filing of the letters in sharepointwith relevant tracking & reference numbers
  • Develop HSSE Templates for Breach Warning Letter 1 , Breach Warning Letter 2 & License to Operate breaches, covering the Retailer End Licence Agreement
  • File outcome of the Panelling result including filing the Panel Assessment, Documents submitted & presentations prepared
  • Issue Periodic License to operate Letters to the Retail Network
-Failed LTO (TNT, SCRC & relevant LTO matters) \xe2\x80\x93 Quarterly + As & when -Fairbanks Late Submission / LFI / Incidents at site / Retail Site Assurance audit outcome \xe2\x80\x93 Quarterly -Lubricants Reminder / Performance Management -CR Incompliance Matters ( External purchase, Fail SCRA, Fail LOD Audits) -Recognition of top performers in the Retail Network
  • Develop /Issue & File Performance Review Letters for 1000 station network
- Mail Merge KPIs, License to Operate (SCRA, WSM, HSSE,GEA) Operational KPIs, Fuels, CR, Lubs of 1000 sites every end of quarter. - Address Q&As on the Quarterly Performance -Operational Communications - Issue letters of allocation of Marketing programs (quarterly eg. Marketing Promos, CR Promos / Planned orders)
  • Develop Site Profile Template for Site Visits & Update performance as & when required on the Site Profiles. Create / Digital Sharepointfor all retail sites.
  • Arrange meetings and appointments and provide reminders (booking of room, arrange for refreshments and room facility).
  • Create PR/PO under operations and monitor the payment closely to ensure that it will be deliver based on the given dateline
  • Attempt to deal and solve payment issues with high innovative and creative thinking skills so that payment will be release accordingly.
  • Develop and carry out an efficient documentation and filing system as per Shell policies for record management.
  • Created and maintained detailed administrative processes and procedures to drive efficiency and accuracy.
  • Greeted incoming visitors and customers to provide assistance during business visit.
  • Provide support in handling organization event such as Retailers Engagement Day, New Dealer Recruitment and other regional related events.
  • Filing Ops Team Important document such as letter from bank, invoice and etc
  • Monitor Ops Team supplies , Stock control and ordering of office materials (signage, visitor log book, RMR etc)
  • Accept mail , courier deliveries and help visitor to get access to the office/building
Requirements :
  • Diploma in any relevant field
  • Strong team member with excellent communications skills
  • Demonstrable competence in implementing standard processes, achieving business targets, building relationships with Shell Retailers, internal & external stakeholders
Job Type: Contract
Contract length: 12 months Salary: Up to RM4,000.00 per month Benefits:
