About the Role



The Personal Assistant will work closely with the CEO to provide high-level administrative, operational, and communication support. This role requires someone who is exceptionally organized, well-spoken, and able to maintain professionalism while managing fast-moving tasks and priorities. You will act as the CEO's right hand -- coordinating schedules, preparing documents, handling follow-ups, and ensuring seamless day-to-day operations.

You will join key meetings, take accurate minutes, translate discussions into clear action plans, coordinate follow-ups, and communicate with internal teams and external partners on behalf of the CEO. The role also involves managing confidential information, arranging travel, preparing briefs, and ensuring the CEO remains informed, prepared, and supported at all times.

Given the CEO's workload and communication needs, this position requires someone who can show care without being intrusive, communicate confidently yet humbly, and follow instructions precisely. Strong emotional intelligence, discretion, and practical thinking are essential.

Key Responsibilities



Manage the CEO's calendar, appointments, and daily schedules. Coordinate internal and external meetings, including preparing agendas, materials, and follow-up action points. Attend key meetings with the CEO, take detailed minutes, and ensure accurate follow-ups are executed. Handle communication on behalf of the CEO -- emails, messages, reminders, and instructions to teams. Prepare documents, reports, presentations, and briefs as required. Arrange travel, accommodation, and logistics for both local and overseas trips. Maintain confidentiality and handle sensitive information with discretion and professionalism. Coordinate with various departments to ensure tasks assigned by the CEO are completed on time. Perform other related duties as required to support the CEO's day-to-day operations.

Job Requirements



Possess a Diploma or Bachelor's degree in a relevant field. Minimum 2-3 years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative support role.

Well-spoken, polite, and composed

Able to work under pressure, adapt quickly, and manage time efficiently. Fluent in English; Mandarin proficiency is an added advantage.
