Job Summary:



To provide high-level administrative and personal support to the directors, ensuring smooth coordination of schedules, communication, travel, and various office and household matters. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities efficiently.

Key Responsibilities:



Manage director's emails, messages, and internal/external communications, ensuring timely response and confidentiality. Organize appointments, meetings, and travel arrangements to optimize the director's schedule and time efficiency. Prepare, track, and manage documents requiring director's review, approval, or signature, ensuring accuracy and timely turnaround. Process payments, claims, and reimbursements for the directors; handle personal errands and property-related matters. Coordinate logistics and support for visiting directors and events, including cross-department collaboration. Liaise with service providers and staff to ensure smooth operation and upkeep of director's residence and related facilities. Provide flexible support for company events, special projects, and foundation-related duties (Yayasan CNI).

Skills & Qualifications:



Proven experience as a Personal Assistant, Personal Secretary, or similar role Proficient in Google Workspace, and relevant communication platforms (e.g., Zoom, WhatsApp) Strong written and verbal communication in English and Bahasa Malaysia Able to converse in Mandarin is an added advantage as this role will be need to be liaise with China's stakeholder. Ability to work flexible hours when required Possess own transport Knowledge of administrative processes, corporate communication, scheduling tools (e.g., Google Calendar), and basic finance/claims handling. Familiar with protocol and discretion in handling confidential and sensitive matters. Understanding of local travel arrangements, hospitality bookings, and household/staff management
