Arrange and manage the Director's daily schedule, including meetings, appointments, and travel arrangements.
Ensure the schedule is well-organized, avoid time conflicts, and promptly remind the Director of important engagements.
2. Meeting Arrangement and Coordination:
Schedule internal and external meetings, including booking meeting rooms, preparing agendas, and sending invitations.
Coordinate attendees' availability to ensure smooth meeting proceedings.
3. Meeting Minutes and Follow-Up:
Take meeting minutes, compile meeting summaries, and distribute them to relevant parties.
Follow up on action items from meetings to ensure tasks are completed on time.
4. Project Follow-Up:
Assist the Director in tracking the progress of projects managed by various departments to ensure they are on schedule.
Maintain communication with department heads and provide timely updates on project status and potential issues.
5. Document and Correspondence Management:
Handle the Director's daily documents and correspondence, including emails, reports, and contracts.
Ensure proper filing and archiving of documents for easy retrieval.
6. Government Department Communication:
Assist the Director in communication and coordination with government departments to ensure accurate and timely information exchange.
Prepare and submit required documents and reports to comply with government regulations and requirements.
Requirements:
Education:
Minimum of a Bachelor's Degree (Degree), with a preference for those with a background in secretarial studies.
Language Proficiency:
Fluent in Chinese, Malay and English, with excellent written and verbal communication skills.
Technical Skills:
Proficient in office software (e.g., Microsoft Office Suite), with strong organizational and time management abilities.
Experience:
Prior experience as a secretary or personal assistant or administrative assistant is preferred, with additional experience in government communication being an advantage.
Personal Attributes:
Detail-oriented, responsible, able to work under pressure, and possess strong problem-solving skills.
5 days work week, 8:30 a.m. to 5:30 p.m.
