Requirements
Job Requirements:
  • Degree in Business Administration, Secretarial Studies, or equivalent.
  • Minimum 3-5 years' experience as a Personal Assistant, Executive Secretary, or similar role.
  • Excellent command of English, Bahasa Malaysia and Mandarin
  • Strong organizational and time management skills.
  • High level of confidentiality, professionalism and discretion.
  • Good communication and interpersonal skills.
  • Proficient in MS Office (Word, Excel, Powerpoint and Outlook/Gmail)
  • Able to multitask and work independently with minimal supervision.
  • Personal Attributes: Trustworthy, discreet, proactive and resourceful.
Responsibilities
Job Responsibilities:
1. Administrative & Secretarial Support
  • Manage daily schedules, appointments, and travel arrangements for the Management.
  • Prepare and organize meetings, agendas, minutes, and follow-ups.
  • Handle correspondence (emails, calls, letters) with professionalism and confidentiality.
  • Maintain organized filing systems (physical and digital).
2. Coordination & Communication
  • Act as a liaison between the Management and internal/external parties.
  • Communicate on behalf of the Management where appropriate.
  • Ensure timely follow-up and completion of assigned tasks or projects.
3. Document & Information Management
  • Draft, proofread, and prepare reports, presentations, and documents.
  • Handle confidential information with discretion.
  • Maintain up-to-date records and databases as required.
4. Event & Travel Arrangements
  • Arrange local and international travel itineraries, accommodation, and logistics.
  • Assist in planning company or private functions, meetings, and events.
5. Personal & Errand Support
  • Provide personal assistance on matters assigned by the Management (e.g. household coordination, appointments, etc.).
  • Handle ad-hoc tasks, purchases, or errands as required.
6. Perform any ad-hoc tasks required by superior.
