We are looking dedicated candidate for Personal Assistant to provide personalized secretarial and administrative support.

Responsibilities



Manage the director's schedule, including scheduling meetings, conferences, taking notes, handling correspondence, appointments, and travel arrangements. Required travel to others country to meet with clients/ suppliers. Book flight tickets and join director abroad for business trips if necessary. Reminding director for important task and deadlines. Liaise with external vendors, suppliers and customers on meeting arrangement for Director. Arranging accommodation and transport for director during overseas business trip. Assist in preparing weekly, monthly and quarterly reports. Act as the point of contact between the manager and internal/external clients. Assist in translating English, Mandarin or Cantonese language to Malay language. Screen and manage phone calls, emails, and other correspondence on behalf of the director. Draft responses, prioritize messages, and ensure that important matters are brought to the director's attention in a timely manner. Be attentive and thoughtful to Director's preferences, understanding the best way to assist and alleviate pressures in role and responsibilities. Any other tasks assigned by Director from time to time. Organize and maintain files, documents, and records, both physical and digital. Ensure that information is properly filed and easily accessible when needed. Handle confidential information with discretion. Provide general administrative support, including photocopying, scanning and others. Assist with special projects or assignments as delegated by the director. Conduct research, gather data, and prepare reports or presentations as needed. Collaborate with other team members to support project objectives. Foster and maintain positive relationships with both internal and external to the organization. This may involve liaising with clients and partners on behalf of the director. Conduct research and gather information on various topics as requested by the director. This could involve market research, competitor analysis, or industry trends to support decision-making and strategic planning. Maintain strict confidentiality and discretion regarding sensitive information related to the director's work and personal affairs. Perform any such comparable duties consistent with the level of this position and as required by the Director from time to time and shall respond positively to any 'call-in' work and perform additional working hours when required.

Requirements and skills



Diploma / Degree in Administration/ Marketing or equivalent. Fluent in Bahasa Malaysia, English and Mandarin / Cantonese. Fresh graduates are encouraged to apply. Good communication skill, inter-personal skills and able to interact effectively with people at all levels in a professional manner. Proactive, resourceful, responsible, responsive and adaptability to changes. Good image and temperament, able to endure hardships and stand hard work. Matured, motivated and able to work independently. Ability to multitask and prioritize tasks in a fast-paced environment. Possess good problem-solving skills and displays willingness to learn. Disciplined and timely manner.
