We are seeking a highly organised, proactive, and resourceful Personal Executive Assistant to support the Director in managing business operations and personal tasks across multiple countries. The role requires excellent English communication skills, the ability to work independently, and the flexibility to coordinate across different time zones.
Key Responsibilities
1. Executive Support
Manage the Director's daily schedule, meetings, and travel arrangements.
Coordinate cross-border meetings across APAC.
Prepare agendas, presentations, and meeting notes.
Track action items and follow up with relevant parties to ensure timely completion.
2. Communication & Coordination
Assist as point of contact for business and personal matters.
Liaise with internal teams, business partners, and clients on behalf of the Director.
Handle email correspondence and draft professional communications in English.
3. Business Administration
Assist with document preparation, filing, and contract management.
Support status updates and report follow-ups to ensure deadlines and deliverables are met.
4. Personal Assistance
Coordinate logistics for occasional personal or non-business travel arrangements as assigned.
Support lifestyle-related tasks when necessary, such as organising small events, sourcing products or services, and handling essential personal administration.
5. Operational Support
Support C-level operations across the APAC region.
Provide on-the-ground assistance for business visits.
Requirements
Mandatory:
Excellent communication skills in
English
(written & spoken).
Bonus:
Proficiency in
Korean, Japanese, or Chinese
is an advantage.
Proven experience as a Personal Assistant, Executive Assistant, or similar role.
Strong organisational and multitasking skills with attention to detail.
Proficiency in Microsoft Office / Google Workspace tools.
Ability to work independently and handle confidential information with discretion.
Willingness to work flexible hours to accommodate meetings in different time zones
and travel for business when required
.
Familiarity with cross-border business culture in Southeast Asia is a plus.
Preferred Qualifications
Prior experience supporting C-level executives.
Basic knowledge of corporate operations, procurement, and vendor management.
