Job Description


About the role:

The APAC Professional Affairs Grants & Fellowship Specialist will report to the Director, Professional Affairs APAC, and work closely with Medical Education, Marketing, Compliance and other departments. He/she is responsible for managing 3rd party and fellowship grants administration operations for the APAC Region. This role is critical in assuring the appropriate and compliant evaluation of grant requests on behalf of Smith +Nephew.

Responsibilities:

End-to-end Management of Grant Requests:

Manage all Grant Requests in the APAC region including Fellowships, Educational Grants, Product Donations, non-Product Donations and Indirect Sponsorships, in accordance with Smith+Nephew compliance policies and local laws & regulations.

Manage administration of the grant cycle from application to closing, ensuring grant requirements are met and payments are appropriate.

Organise review meetings for the Fellowships & Grants Review Committee (FGRC) at regular intervals (e.g. monthly/fortnightly).

Create grant agreements and manage payments to healthcare organisations upon approval of the grant requests by the Fellowship and Grants Review Committee.

As the single point of contact, communicate with the grant requesting healthcare organisation (HCO) on matters related to the grant request.

Resolution of contract-related issues, both internally and externally.

Perform all duties in compliance with the defined Professional Affairs, Office of Compliance and Ethics policies and procedures, as well as the company Code of Conduct and Business Principles.

Work closely with various departments such as Medical Education and Commercial teams throughout APAC region to understand the priorities of the business and interest in accepting grant requests.

Maintain accurate & compliant documentation & database, monitoring & reporting of grant budgets:

Maintain documentation and records for all grants within the grants management system.

Ensure that the grant management database is accurate and meets legal and audit requirements.

Assist in the development and maintenance of budgets, monitor and provide the necessary reporting of budget\xe2\x80\x90to\xe2\x80\x90actual spend.

Develop the Grants SOP & educate stakeholders:

Develop & maintain the Grants SOP.

Educate internal stakeholders on the standard operating procedures for evaluating 3rd Party grant requests within the APAC region.

Advise the Medical Education teams and Business Units across all countries in APAC on ensuring grant applications are in accordance with S+N compliance rules and local laws and regulations.

Educate & train staff on the grants process in collaboration with the Regional Compliance Officers.

Carry out other duties as shall be assigned from time to time:

Serve as a backup for other Professional Affairs Specialists within APAC

Minimum requirements:

Professional experience in e.g. compliance, contracting, marketing or medical/professional affairs (preferably in the medical device or pharmaceutical industry).

Familiarity with grants and/or fellowships management (3-5 years experience).

Competencies:

Solid knowledge of preparing and managing grant agreements

Self-confident and professional demeanour with great attention to details

Excellent communication skills (written and verbal) and very good numerical skills

Being extremely confident to communicate and liaise with Societies, Institutions/Hospitals and Healthcare Professionals directly

Solid IT skills with good knowledge of Microsoft Office

A team player, hard-working, proactive and patient

Professional working proficiency in English and Chinese; other languages (Japanese and/or Korean) would be an advantage
