Project Admin Executive (Contract) - Your next position?

As the Project Admin Executive, you will be mainly responsible to manage project deliverables in order to fulfil specific demands of site according to the guidelines.

In this role, you will be based at the Ayer Keroh, Melaka Site and you\'ll directly report to the HR Director, Malaysia.

In this position you will be responsible for:

Project Administration

  • Work in conjunction with management and provide support to Hornbill project related administration activities.
  • Managing external vendors
  • Facilities management
  • Manage authority compliance issues
HR Administration
  • With guidance, provide human resources generalist support to managers.
  • Identify trends/ issues that require resolution and involves appropriate resources.
  • Support organisational effectiveness function through team building and goal/role clarification.
  • Participate in people management activities for defined scope including involvement in performance management and compensation review processes.
  • Working closely with Talent Acquisition Team in the recruitment process to ensure business hiring requirements are met, the quality of personnel hired, the effectiveness of recruiting and selection techniques, and compliance with law requirements.
  • Provide on-site consultation and administration including annual merit and incentive cycles, performance reviews, and benefits enquiries.
  • Promote effective and proactive use of people management practices and systems and provide value added reporting enabling managers to make more effective, fact-based and timely decisions.
  • Provide support on foreign workers related matters.
Employee Relations
  • Provide employee relations counsel to managers and employees on HR matters including performance and disciplinary related matters.
  • Provide interpretation and guidance on human resources policies and employment law.
  • Manage employee relation issues and ensures key HR business processes are implemented effectively (e.g. performance management, annual pay/bonus reviews, learning and development, talent planning, succession planning).
  • Support and coach managers to understand and comply with relevant legislation and employee relation policies and practices.
  • Manage end-to-end aspects of industrial relations actions in accordance to the Company\'s policies and procedures as well as Malaysian employment laws.
  • Attend and investigate employee grievance, non-compliance, disputes and disciplinary issues which has been officially reported.
  • Liaise with managers, employees, and their representatives to investigate and resolve grievances and supporting prevention of their recurrence to maintain a productive and harmonious workplace.
  • Drafting of disciplinary letters when required. i.e conduct counselling, issue and follow up on show cause / warning/ termination letter etc.
  • Lead domestic inquiry investigations on issues related to employee(s) misconduct/ disputes as appropriate and utilize consistency in application of disciplinary management policy and procedures.
  • Advice and train managers and supervisors to ensure all employer-employee relationships in the organization comply with individual employment contracts, regulations, laws, and the organization\'s employment policies and standards.
Legal & Compliance
  • Provide interpretation and guidance on human resources policies and employment law
  • Ensure organisational compliance with employment law and implementation of new legal requirements
  • Ensure organisational compliance on matters of occupational health; in collaboration with the occupational health department and local management team provide support on employees\' medical issues/ restrictions.
  • Inform and advise managers and staff about relevant legislation, employee relations policies and practices.

Your professional profile includes:
  • University degree in Business Administration, Human Resources or related field.
  • 2+ years of experience in project administration or HR, preferably with international organisations.
  • Preferably experienced personnel in the manufacturing sector
  • Experience in supporting employee relations and people management activities.
  • Experience working with operators and foreign workers.
  • Willing to manage administration and coordination activities at the site.
  • Good communication& written skills in English and Bahasa Malaysia.
  • Knowledge of HR matters.
  • Knowledge of employee relations.
  • Change management would be an added advantage.
