A Property & Admin Executive handles administrative aspects of properties, including managing maintenance, coordinating with contractors, supporting leasing processes, and communicating with clients and tenants. Key duties involve maintaining property records, preparing documentation, overseeing invoices and payments, and addressing tenant concerns to ensure smooth operations and compliance.
Key Responsibilities
Property & Maintenance:
Manage daily administrative tasks related to property upkeep and maintenance.
Coordinate with contractors and maintenance teams to ensure properties are well-maintained.
Oversee the preparation and scheduling of preventive maintenance services.
Leasing & Tenancy:
Handle administrative aspects of leasing, including creating and managing tenancy agreements.
Advertising vacancies and filling rental agreements.
Manage property databases and tenant records.
Client & Contractor Relations:
Serve as a point of contact for clients, tenants, and other stakeholders, addressing inquiries and concerns.
Liaise with contractors, service providers, and internal teams to ensure smooth operations.
Administrative Support:
Manage and process invoices, payments, and purchase orders for property-related expenses.
Prepare reports on financial performance, sales status, and collections.
Ensure proper documentation and compliance with company policies and relevant regulations.
Other Duties:
Handle administrative tasks for new property projects, ensuring timely delivery of information.
Perform other administrative duties as required by supervisors and management.
