Review tender documents, specifications, drawings, and requirements to understand project scope, deliverables, and submission criteria.
Coordinate with internal departments (Engineering, Project, Procurement, QS, HR, etc.) to gather technical, commercial, and resource information required for tender preparation.
Prepare and compile tender submissions including technical proposals, commercial bids, and supporting documents in accordance with client requirements and deadlines.
Ensure all proposal documents are formatted, structured, and presented professionally with consistency in content and layout.
Track and maintain all tender correspondence, clarifications, addenda, and deadlines to ensure timely submission.
Costing & Estimation Support
Assist in collecting quotations from suppliers and subcontractors to support cost estimation.
Work with the Estimation/Contracts team to ensure that cost data is accurate and aligned with project requirements.
Prepare cost summaries and assist in developing project pricing strategies as directed by management.
Technical Documentation & Compliance
Ensure all technical and commercial proposals comply with client specifications, company policies, and relevant regulations.
Coordinate with engineering teams to ensure proposed methods, designs, and equipment selections are viable and within scope.
Prepare compliance checklists and assist in developing method statements or work execution plans as required.
Client Communication & Coordination
Assist in managing pre-bid clarifications, client queries, and correspondence during the tendering phase.
Attend site visits, tender briefings, or pre-bid meetings as required to obtain site information and client expectations.
Follow up with clients post-submission to track tender progress, evaluation status, or feedback.
Database & Record Management
Maintain an organized database of submitted tenders, awarded projects, and client feedback for reference and performance analysis.
Record all cost data, subcontractor quotations, and proposal documentation for future benchmarking.
Assist in developing standard templates, document controls, and filing systems for tender documentation.
Reporting & Presentation
Prepare tender progress reports, bid status summaries, and proposal outcome analysis for management review.
Assist management in preparing presentations or proposals for potential clients and strategic business opportunities.
Highlight key risks, assumptions, and opportunities identified during proposal preparation.
Continuous Improvement
Support the development and improvement of proposal procedures, templates, and pricing tools.
Stay updated on current market trends, competitors' pricing strategies, and client requirements to improve proposal quality and competitiveness.
Ad-Hoc Tasks
Perform any additional assignments or
ad hoc duties
as instructed by management, including supporting project mobilization, client engagement sessions, or assisting in business development activities.
