Job Description

Responsibilities

1. Supplier Management
- Identify, evaluate, and maintain a list of approved suppliers.
- Coordinate with Risk & Compliance team for supplier approval processes.

2. Purchase Order (PO) Processing
- Prepare and issue accurate Purchase Orders (POs) based on approved requisitions.
- Verify pricing, quantity, and terms before issuing POs.

3. Negotiation & Cost Efficiency

- Source for quotations and conduct price comparisons (minimum 3 quotes).
- Negotiate terms with suppliers to ensure best value without compromising on quality.

4. Compliance & Documentation
- Ensure all procurement activities adhere to the company's SOPs and ethical practices.
- Maintain accurate and complete procurement records and documentation.

5. Interdepartmental Coordination
- Liaise with internal teams including requestors, warehouse, and finance for smooth material flow.
- Communicate updates and resolve issues via email, calls, or messaging tools.

6. GRN & PO Closure
- Issue Goods Received Notes (GRNs) upon delivery.
- Update the Accounts Department and maintain the Invoice Reconciliation Report.

7. Other Duties
- Perform other purchasing-related tasks as assigned by the HOD.
- Provide general administrative support to the purchasing team as needed.

Requirements and skills

Proven work experience as a Purchasing Officer/Assistant or similar role Good knowledge of vendor sourcing practices (researching, evaluating and liaising with vendors) Hands-on experience with purchasing software (SAP Systems) Understanding of supply chain procedures Solid analytical skills, with the ability to create financial reports and conduct cost analyses Negotiation skills
Job Type: Full-time

Pay: RM3,000.00 - RM4,500.00 per month
