Job Summary:


The

Quality and Compliance Assistant

supports the implementation, monitoring, and continuous improvement of quality assurance and compliance processes within the organization. This role ensures that all academic, administrative, and operational activities comply with

internal policies

,

Malaysian Qualifications Agency (MQA)

standards, and

Ministry of Higher Education (MOHE)

requirements.

Key Responsibilities:



1. Quality Assurance Support

Assist in preparing and updating quality assurance documentation such as policies, manuals, SOPs, and audit reports.

2. Compliance Monitoring



Assist in monitoring compliance with institutional, regulatory, and accreditation requirements (e.g., MQA, MOHE, ISO). Ensure timely submission of required documents and reports to regulatory bodies. Support programme accreditation, re-accreditation, and institutional audit exercises. Liaise with departments to ensure that academic and operational practices adhere to compliance standards.

3. Documentation and Reporting



Prepare compliance reports, meeting minutes, and audit summaries for management review. Update and maintain the compliance database, including staff credentials, programme approvals, and accreditation records. Track deadlines for report submissions and quality review schedules.

4. Administrative and Coordination Duties



Coordinate meetings, workshops, and training sessions related to quality and compliance. Assist with communications and reminders related to QA and compliance requirements. Provide administrative support for departmental projects and reviews.

Qualifications and Requirements



Minimum

Diploma or Bachelor's Degree

in Business Administration, Quality Management, Education, or a related field.

1-3 years of experience

in quality assurance, compliance, audit, or administration (preferably in the education sector). Familiarity with

MOHE, MQA, and ISO standards

is an added advantage. Strong organizational and documentation skills. Proficient in Microsoft Office (Word, Excel, PowerPoint) and document control systems. Good communication skills in

English and Bahasa Malaysia

. Detail-oriented, responsible, and able to handle confidential information with integrity. Support internal quality audits and follow-up on action plans to ensure continuous improvement. Collect and analyze data for quality performance indicators and feedback surveys. Maintain accurate and up-to-date records of QA activities and documentation.

Working Conditions:



Full-time position (45 hours per week). Occasional after-hours work may be required to meet project deadlines or regulatory obligations. Primarily office-based, with occasional visits to faculties for compliance reviews and support.

Pay: From RM2,500.00 per month
