Review and verify purchase requisitions; provide feedback to users on incomplete documents or non-compliance issues.
Obtain specifications and confirmation from users.
Review and compare quotations; source additional quotations if required.
Prepare a list of qualified vendors or contractors.
Conduct price comparisons and provide recommendations to users.
2. Processing Purchase Orders
Review purchase requests and Letters of Award (LoA) in line with procurement policies.
Obtain necessary approvals.
Review product or service quotations.
Issue and email Purchase Orders (PO) to users and vendors.
3. Tender Management Support
Source qualified vendors for repair and maintenance works.
Prepare quotation and tender documents.
Coordinate logistics for site visits and tender briefings.
Conduct on-site tender briefings.
Assist in tender evaluations (TOC, TEC, and CEC).
Prepare approval memorandums.
4. Request for Proposal (RFP) Support
Review RFP documents received from users.
Source qualified vendors according to the specified scope and requirements.
Coordinate vendor briefing sessions.
5. Insurance Renewal Assistance (OUM Buildings)
Obtain notifications from agencies regarding expiring insurance.
Source and evaluate quotations for insurance renewal.
Obtain confirmation from MPSB on insurance terms, conditions, and pricing.
Prepare approval memorandums.
6. Additional Responsibilities
Perform other related duties as assigned, based on operational requirements.
