Job Description


We are looking for a Receptionist Admin for a receptionist\xe2\x80\x99s job and handle admin job. 1) TELEPHONE - Answer telephone calls and make outgoing calls. Update the extension list, Dancom directory, and staff seating plan and handle NEC PABX keyphone systems maintenance. 2) VISITOR - Attend to visitors and greet them with a smile, book taxi for visitors of staff upon request. 3) MAILS AND COURIER - To handle outgoing mails - register stamps usage, and purchase requisition. To receive incoming mail and pass it to the Corporate Executive, record down date received of incoming courier documents/parcels, to ensure the receiver acknowledges receipt. 4) CLEANLINESS - To ensure the cleanliness of the reception area, to upkeep the flowerpots at the reception counter, to ensure the record books are to be kept clean and neatly written and to ensure the pantry is clean at all times. Monitor the cleaners\' work activities to ensure the workplace is clean at all times. 5) PERSONALITY - To wear proper office attire, slippers are not allowed, always greet and smile to staff and visitors, answer calls in proper manners, and always have a cheerful personality. 6) CONFIDENTIAL - Any gathering at the reception counter is not allowed, and any unauthorized person is not allowed at the reception counter, to ensure the company stamps are not to be accessible. Staff access card records and CCTV are not allowed for other unauthorized persons to access. 7) STAFF ATTENDANCE - Update all the staff attendance access cards, laminate the staff name tag, and month end to extract all staff absent list to match with HR staff leave record, and extract all staff late to work for HOD to clarify. Update, key in, and file the staff leave form. 8) SECURITY - To monitor security guards to comply with the checklist, to update staff\'s vehicle detail to inform them to remove their car if there is any parking problem. To file the night shift security guards\' clocking record and highlight if there have any problems. 9) UTILITIES - To record the telephone bill, electricity, water, and photocopiers cost and inform Superior if there have a big waste. 10) PURCHASING - To handle the pantry\'s sundry expenses. To monitor, record, and control the pantry\'s usage and raise PR for refilling. Record the stamp usage and raise PR for purchasing. 11) Assist HR & Admin Executive in their daily task . 12) MEETING ROOM - responsible for the cleanliness and ensuring returning the room to its original condition and arrangement. Switch off all the air-conditional and lighting when they are not needed. 13) To take on other responsibilities HR/Admin task as and when assigned by the management. Job Requirements: Candidate must possess at least an SPM or Diploma in Business Admin or equivalent. Fluent in English and Bahasa Malaysia. Resourceful, meticulous, and result-oriented and has the ability to both multi-task and work independently in a fast-paced environment. Good attitude and is a team player. Willing to work at Petaling Jaya. Fresh graduate is encouraged to apply.
