Job Description

Job Summary



Greeting guests, answering phones, handling inquiries, and providing general administrative support, maintains the reception area, manages incoming and outgoing mail, schedules appointments, and assist with various task as needed.

Job Responsibilities



Manage Visitor Management System (VMS) to coordinate all visitors events. Provide a warm and friendly welcome to guests, clients, and employees as they arrived. Handle incoming calls professionally, directing them to the appropriate person or department and take notes when necessary. Assist visitors and callers by providing information about the organization, services and directing them to the appropriate resources. Ensure the reception area is clean, organize and well presented at all the times, including managing brochure and other materials. Sort and distribute incoming mail and packages, and prepare outgoing mail for pickup or delivery. Manage appointment calendars for employees, schedule meetings and conference rooms as needed. Assist with various administrative task such as data entry, filing, photocopying and scanning documents. Assist to distribute office stationary to all departments. Coordinate with other departments to ensure smooth operations, including managing office supplies, equipment and facilities. Provide support for special projects or events as needed, such as organizing company gathering or coordinating travel arrangement. Perform any other ad-hoc duty/task assigned by Superior.

Job Requirements



Candidate must posses at least SPM. Proficient with Microsoft Office (Words, Excel) or related software. Have good communication skills. At least 2 years working experience in related fields. Able to perform work with minimum supervision.
