Reservation Agent 2023-10-02

Duties & Responsibilities:

You will be responsible for the accurate recording and processing of all reservations. Maximisation of room sales through pro-active selling techniques. Maintain an up-to-date knowledge of the hotel and its room rates, promotions and facilities.

1. Top priority is to telephone courtesy and service consistent with the standard and procedures of the Dorsett Hartamas Hotel Kuala Lumpur.

2. Handle the following forms of reservations, ensuring they are processed immediately: Telephone, correspondence, fax.

3. Ensure a sales attitude is adopted at all times and maintain an awareness of all sales opportunities within the hotel.

4. Ensure all reservations are processed through the computer system (PMS) on the very day the reservations are received.

5. Checks thoroughly expected arrivals at least 2 days in advance, ensuring all prepayments (where applicable) have been made.

6. Up-selling techniques must be adopted at all times to increase the average room rate.

7. If responsible for group reservations, ensure all rooming lists are entered into computer at least 7 days prior to arrival and prepayments (where applicable) have been received.

8. Adhere to all company credit policies to ensure all revenue expected will be received.

9. Post in all deposits received as per advice from Credit Department.

10. Prepares and distributes all documentation with regards to complimentary rooms, tours, transfers, meal requirements, amenities, etc., to the respective departments.

11. Ensure accurate guest reservation details are inputted into the system and complete with arrival date/times/etc.

12. Performs other duties related or unrelated to reservations, as requested by the guest or as directed by Management.

Job Requirements:- * Candidate MUST possess at least a Diploma, Advanced/Higher/Graduate Diploma, Hospitality/Tourism/Hotel Management or equivalent

  • Good command of English and Bahasa Malaysia.
  • Good communication and interpersonal skill
  • Experience in Customer Service and Reservation will be an advantage
  • Courteous, service oriented with pleasant personality.
  • Able to perform shift works (2 shifts rotation basis)
