Job Description


  • Candidate must possess at least a Diploma/Degree in business administration or any equivalent.
  • Have min 3 year(s) working experience or similar role is required for this position, preferably in Automotive industry.
  • Self-motivated and ability to multi-task and work independently.
  • Responsible, possess good working attitude, time management skill and can meet deadlines.
  • Strong interpersonal and communications skills
  • Computer literate with Microsoft Office applications, especially in Excel.
  • Able to work in a fast-paced environment.
  • Experience in Sales Operation Admin (Automotive field) is an added advantage.
ResponsibilitiesBooking Process
  • Prepare Booking Manual at SALES & PURCHASE ORDER (make sure IC/License completed)
  • Open Official receipt manual and monitor Official Receipt
  • Key in all payment at system (WORKSHOP PRO)
  • Prepare Daily Collection Report and send to Finance Department
  • Filing file customer (make sure IC/License completed)
  • Follow up status loan customer from salesman
  • Prepare Proforma Invoice to all confirmation purchase customers
  • Prepare Insurance Quotation from system Insurance (ALLIANZ/ETIKA)
  • Prepare and cross checked all bank Agreement
Inspection & Puspakom
  • Discuss with sales team which bikes want inspection
  • Booking online inspection/Puspakom
  • Prepare original AP before inspection
  • Arranging driver for arrange inspection
Process Register and Delivery
  • Make sure all customer full payment before register
  • Payment verified from Account team before register
  • Prepare Checklist register
  • Prepare Insurance Cover Note
  • Prepare E-Daftar
  • Compile all document for bikes registration to JPJ Runner
  • Prepare Delivery Form (DO) & related document before handover to customer
Sales Invoice-Loan Disbursement
  • Prepare Sales Invoice with all the completed document
  • Case payment from Bank
  • Update finance payment received from banks
  • Issue Official receipt and update into system
Admin Matter
  • Ordering stationery
  • Ordering printing and office related
  • Prepare and Checking attendance all staff make sure all head verified and send to HR Department
  • Make sure all office clean
  • Controlling Petty Cash for Registration bikes, Inspection and admin matter(Weekly)
  • To check all the office equipment in good condition (PHOTOCOPY MACHINE/LAMINATINGMACHINE/WATERDISPENCER/NESCAFEMACHINE)
Stock Received & Stock Report
  • Key in details customer and allocation bikes to salesman
  • Monitor stock report and report to Head
  • Monitor incoming stock with sales team
  • Received new stock incoming and checking the physical bikes
  • Key In Report and update everyday
