Description
Human Resources
\xe2\x80\x93 Maintains the work structure by updating job requirements and job descriptions for all positions.
\xe2\x80\x93 Communicate with insurance agency for compensation health and medical insurance related issues.
\xe2\x80\x93 Handling a performance appraisal system process by monitoring and assisting employees for every Performance Management Record cycle.
\xe2\x80\x93 Maintains human resource counselling and disciplinary process for employees by handling the process of disciplinary action.
\xe2\x80\x93 Preparing letters such as offer and confirmation, preparing and submitting all relevant HR letters/ documents/ certificates as per the requirement of employees in consultation with the management.
\xe2\x80\x93 Hearing and resolving employee grievances and escalating to the right level depending on the nature of the grievance issues.
\xe2\x80\x93 Perform recruiting process from beginning by posting application from channels that may be available or working with recruitment agency to source candidates for specific job position; reviewing resume and screening applications; conducting recruitment interview and providing necessary input during the hiring process.
\xe2\x80\x93 Maintains historical human resource records by designing a filing and retrieval system, keeping past and current records.
\xe2\x80\x93 Maintains professional and technical knowledge by attending educational workshops and training.
\xe2\x80\x93 Ensures legal compliance by monitoring and implementing applicable human resource federal and state requirements including maintaining records.
\xe2\x80\x93 Administering monthly payroll from beginning to end process by preparing and processing employee claims and allowances, overtime, and payment of employee salary
\xe2\x80\x93 Managing workplace health and safety issues by ensuring basic medication supplies such as first aid kit and etc. is sufficient for all employees
\xe2\x80\x93 Liaising with all government agencies such as Department of Labor, EPF, SOCSO, IRB, HRD Corp and etc.
\xe2\x80\x93 Conducting various engagement activities such as family day, engagement session and any gathering event between employees.
\xe2\x80\x93 Analyzing training needs for new and existing employees by establishing and conducting orientation and training programs and searching suitable training for employees.
Admin
\xe2\x80\x93 Arrange and schedule all work-related matters related to the Board of Directors (BOD) which includes but are not limited to work appointments, meetings, travel itinerary and hotel accommodation. (Board Directors\' Affairs)
\xe2\x80\x93 Arrange and schedule meetings and appointments, prepare minutes of meeting as and when required.
\xe2\x80\x93 Develop and maintain proper document filing systems for the BOD\'s personal files, other related confidential matters.
\xe2\x80\x93 Follow up with the management team on any tasks required given by the BOD.
\xe2\x80\x93 Handle day-to-day tasks and provide clerical assistance to the Board of Directors as and when required.
\xe2\x80\x93 Assist Internal Company Secretary (CoSec) to arrange document signatories, draft letters, and print relevant documents.
\xe2\x80\x93 Assist in planning and arranging events, including organizing catering and refreshment.
\xe2\x80\x93 Handle expenses and billing cycles and to remind Finance Team to ensure payment of utility bills are on time.
\xe2\x80\x93 Manage reception area, welcome visitors/clients/prospects and direct them to the relevant office/personnel.
\xe2\x80\x93 Carry out clerical duties such as answering phone calls, responding to emails and office correspondence.
\xe2\x80\x93 Oversee the maintenance of office facilities, equipment and to maintain office cleanliness including training room.
\xe2\x80\x93 Coordinate and participate in office space planning, maintenance and renovations when necessary.
\xe2\x80\x93 To organize an effective filing system for easy retrieval.
\xe2\x80\x93 Manage the purchase of office supplies, equipment and furniture as needed.
\xe2\x80\x93 Maintain general office files, including Business files, Vendor files, and other files related to the company\'s operations.
\xe2\x80\x93 Coordinate and manage meeting and training room schedules in order to prevent duplicate bookings.
\xe2\x80\x93 To supervise senior officer on his/her daily tasks.
