Bachelor\'s degree in Business Administration, Law, Finance, or a related field.
Proven 1-2 years experience in an administrative role, preferably in a corporate or office environment.
Fluent in Bahasa Malaysia and English. Proficiency in Mandarin is a plus.
Strong organizational, multitasking, communication, and interpersonal skills.
Proficiency in Microsoft Office Suite and other office software.
Detail-oriented with a focus on accuracy and quality of work.
Ability to work independently with minimal supervision and collaboratively as part of a team.
Flexibility and adaptability to changing priorities and deadlines, including willingness to work on off/rest days if required.
Responsibilities
Organize and oversee both internal and external meetings, including board meetings, to ensure strict adherence to governance regulations and provide expert counsel on governance matters.
Stay updated on laws and regulations, draft regulatory documents, manage shareholder communication, and maintain accurate corporate records.
Manage risks, coordinate disclosures, prepare corporate communications, and serve as a point of contact for stakeholders.
Provide dedicated assistance to executives, including support for two directors, and seamlessly integrate meetings, appointments, and events into their schedules.
Schedule and coordinate weekly meetings, meticulously crafting agendas, reserving appropriate meeting rooms, distributing requisite materials, and preparing comprehensive minutes of meetings for both division and department.
Assist with document preparation, filing, recordkeeping, and act as a liaison between departments and other units.
Collect reports, data, and information from relevant departments, ensuring accuracy and completeness before submission.
Provide general administrative support, including answering phones, responding to emails, and handling correspondence.
Support other division/department with administrative tasks, project coordination, and communication, as needed.
Assist with various projects and initiatives and perform ad-hoc tasks assigned by management.
