Responsible and accountable for the following tasks: \xe2\x80\xa2 Organizing appointment, Managing Director calendar and meeting arrangement. \xe2\x80\xa2 Composing official letter, memorandum for internal and external communications. \xe2\x80\xa2 Maintaining private & confidential matters and other sensitive information from unauthorized access by staff and visitors. \xe2\x80\xa2 To advise the Managing Director of impending work deadlines for both internal and external commitments (i.e reports, presentations, projects). \xe2\x80\xa2 Travelling preparation, arranging and confirming air-tickets, accommodations, and transportation. \xe2\x80\xa2 Liaise with company secretaries, auditors and other government agencies. \xe2\x80\xa2 Ensure that all correspondence and inquiries have been processed and action where necessary. \xe2\x80\xa2 Developing an effective and efficient filling system. \xe2\x80\xa2 Ensuring cleanliness and maintain a corporate image at Managing Director\xe2\x80\x99s office. \xe2\x80\xa2 Meeting and greeting visitors at all levels of seniority. \xe2\x80\xa2 Organizing and servicing meetings (producing agendas and taking minutes). \xe2\x80\xa2 Prepares reports by collecting information (Truck Utilization & Optimization/Management Meeting). \xe2\x80\xa2 Prepare quotations and handle customer inquiries via the phone, email. \xe2\x80\xa2 Prioritize daily administrative tasks to ensure that projects are completed on time. \xe2\x80\xa2 Assisting with submissions of bids and tenders. \xe2\x80\xa2 Miscellaneous tasks to support other Director/Manager, which will vary according to the sector and to the Director/Manager\xe2\x80\x99s remit.
