Supporting coordination, documentation, and performance tracking across Humanology's core divisions
The Senior Administrative Executive provides essential coordination and administrative support to ensure smooth operations across Humanology's four divisions -- Research, Consultancy, Learning, and Business Development. This role plays a vital part in maintaining alignment between teams, tracking performance indicators, and ensuring that all outputs meet organisational quality, compliance, and branding standards. Working closely with the Manager for Divisional Integration & Performance, the executive ensures that plans, reports, and communications flow efficiently across all levels of the organisation.
Strategic Planning & Integration
The Senior Administrative Executive assists in translating corporate goals into divisional work plans by maintaining activity trackers, updating progress dashboards, and preparing meeting briefs. The role involves coordinating inter-division meetings, taking accurate minutes, monitoring task follow-ups, and maintaining KPI documentation to support quarterly and annual reviews.
Operational Oversight & Quality Assurance
The executive helps manage operational workflows by tracking project schedules, updating progress reports, and ensuring timely submission of deliverables. The position includes checking documents for completeness, formatting reports according to Humanology's templates, and supporting internal quality reviews. The executive also ensures compliance with internal SOPs, HRD Corp requirements, and administrative documentation standards.
Financial & Resource Management
The Senior Administrative Executive assists in processing budget requests, quotations, and procurement forms, and in monitoring division-level expenditures. This includes maintaining accurate financial records, supporting invoice and claim submissions, and coordinating with the Finance & Compliance Unit on documentation for HRD Corp or statutory reporting. The executive also helps prepare summary sheets for project cost tracking and revenue performance updates.
Stakeholder, Client & Institutional Engagement
The executive supports client and institutional engagement activities by preparing presentation materials, correspondence, and engagement letters. The role also manages logistics for client meetings and internal workshops, maintains contact databases, and compiles client feedback forms for post-project evaluation. In addition, the executive helps consolidate performance reports and updates for submission to senior management.
