Our company is looking for an organized, independent, and self-motivated Senior Administrator (Project Admin) that will ensure the company's strategy is adhered to and carried out. The role also requires the candidate to bring in best practices in continuous improvement plans and activity into the organization.
Key Responsibilities:
Administrative Support:
Provide general administrative support to the project manager and project team, including preparing reports, correspondence, and presentations. Assist in scheduling meetings, appointments, and site visits for project managers and team members.
Document Control:
Coordinate the flow of project-related documents, ensuring all relevant parties have access to the correct, up-to-date information. Assist in preparing and submitting documents for approval, tracking revisions, and monitoring document approvals.
Coordination & Communication:
Liaise with project stakeholders, including contractors, consultants, vendors, and regulatory authorities.
Scheduling & Tracking:
Assist in creating and maintaining project schedules, ensuring timelines are adhered to and deadlines are met. Track project milestones, tasks, and deliverables, reporting progress and identifying any delays or issues.
Financial Administration:
Support the tracking of project budgets, assist in processing invoices, and maintain records of financial transactions. Coordinate the approval process for payments, purchase orders, and other financial documents.
Compliance & Reporting:
Ensure compliance with safety regulations, environmental guidelines, and construction standards. Assist in preparing reports on project performance, including progress, risks, and quality assurance.
Resource Management:
Coordinate project managers to ensure that resources (personnel, equipment, and materials) are available and utilized effectively.
Client & Stakeholder Liaison:
Communicate with clients, contractors, and suppliers to ensure project needs are met and deadlines are adhered to.
Requirements:-
Diploma in Civil Engineering / Business Admin / Construction or a related field.
Minimum of 2 years of experience in property development / construction or related roles.
Strong communication and organizational skills.
Ability to manage multiple tasks and deadlines in a fast-paced environment.
