KEY ACCOUNTABILITIES:
1. Execute administrative work for Station/Regional Office:

  • Verify PO, Non-PO, VIM payment (e.g: Telephone bills, water bills, small purchase, cafeteria bills, allowances for trainees' attachment, stationery, etc.) and prepare memos, letters, minutes of meetings and other documents.
  • Raise Account Receivable Billing for staff and non-staff (e.g: telephone bills, water bills, recovery of rental deposit etc.)
  • Acknowledge/perform Goods Received/Service Acceptance, sort and distribution of staff uniform & safety shoes for Station/Regional Office. Ensure all items are completely and timely distributed.
  • Manage stock for uniform and safety shoes at Station/Regional Office efficiently and effectively.
  • In charge of meeting room reservation and meeting refreshment order line and preparation for for company events (e.g: festival or Corporate Events).
  • Manage Multi-Function Printer (e.g.: Procurement of paper, monitoring of the machine to contact vendor when machine breaks down and payment).
  • Carry out daily Cafeteria inspection for cafeteria.
  • Carry out and manage Staff Tenancy Agreement Process (Application, Sourcing, Renewal & Termination) including payment for Rented Accommodation according to TACOS.
  • Carry out staff welfare (eg. food arrangement for retirement staff, celebration arrangement as requested by station)
2. Manage all incoming and outgoing documents / parcel, mail (including receiving and recording) in accordance with the Company's Mail Handling Procedures (include arranging dispatch or shipment of these with appointed service providers).
3. Submit accurate monthly reports on a timely basis (e.g. mailing statistics, staff uniform, safety shoe, stationery).
4. Maintain, update, safekeeping of classified confidential files and documents on regular basis including managing proper and effective filing system.
5. Assist in stakeholders' digitisation project (sort, arrange & scan the critical documents and upload in ECM; disposal of uncritical documents as per SOP).
6. Carry out daily tasks efficiently and effectively via SEB Application (eg. SAP, SEPS, CONCUR and SETM) and Microsoft Office Application (eg. MS. Words, MS. Excel, MS. Powerpoint, MS. TEAMS, etc).
7. Initiate continuous improvement for daily operation.
8. Supervise subordinates/ mailing outsourcing staff (if any).
9. Collaborate with HR on staff leaving the company (eg: retirement/leaving) including collection of Employee Exit NDA Form, Return Company Assets, medical books, security access card etc. per requested by HR.
10. Carry out and participate in 5S activity at workplace.
THINKING OF ENVIRONMENT AND CHALLENGES:
1. Perform all the tasks in line with the Information Security Management System (ISMS),
Information Governance Policy Suite and Guidelines roles & responsibilities procedure.
2. Compliance with Corporate design, quality, HSE & EIA requirements and participation in TQM, 5S and safety activities.
3. Managing a high volume of diverse administrative tasks efficiently while ensuring accuracy and coordination across departments.
QUALIFICATION / WORK EXPERIENCE:
  • Diploma Holder with a minimum of 4 years of relevant experience or SPM with minimum six (6) years of relevant experience.
  • Proficient in computer application software such as Words, Excel and PowerPoint

Preference will be given to internal candidate.
