This position is prioritize to assist the Administrative Manager to manage the day to day operations of the Tenancy Management and Administration within the guideline as approved by the Management. Job Responsibilities Manage day-to-day business relationship with the partners and landlords includes operational issues; Acts as first contact support for the landlords to achieve prompt response on Business Unit request, enquiries, feedback & complaints, and escalate it to other related departments for resolution; Establish and maintain comprehensive and updated landlord\'s database and filing system for all Business Units (ie. Tenancy Leasing information, licenses, agreement and other correspondences); Responsible for the collection and system update of Tenant/ staff monthly movement report across all brands To manage, organize and update reports related to tenancy agreement, master list for rental and etc. To prepare e-memo for renewal and other related tenancy matters. To assist in follow up the Tenancy Agreement for new and renewal cases. Responds to and follows up on leasing matter via post, telephone, and personal visits. Support the leasing team in negotiating new lease, renewal and termination Prepare, review and follow up on all documentations e.g. proposals, letter of offer, tenancy agreements and renewals with related parties Track and monitor all tenancy administrative documentations till completion Prepare and liaise with legal department on tenancy agreement Monitor important dates such as expiry, renewal, termination, etc Prepare and update weekly & monthly tenancy report Work closely with different departments on matters pertaining to collection, fit out and operation Establish and maintain a good relationship with tenants by resolving their issues in a professional way Liaise with the company\'s solicitor on tenancy agreement and feedback/proposal for amendments upon obtaining approval from the management Provide efficient support in day-to-day administrative works and secretarial function Responsible for daily tenancy management. Handle all leasing and renewal administrations. Establish good relationship with landlords and provide support on all leasing related matters. Liaise with contractors on all renovation works related. Ensure apartments are in good condition prior to the handover to new tenants. Obtain quotations and prepare quotation comparison tables for necessary pre-tenancy or rectification work. Any other tasks or duties that may be assigned by superior from time to time. Qualifications / Requirements Academic Qualification: Candidate must possess at least a Certificate or Advance/ Diploma in Real Estate, Marketing, Business or either related fields. Minimum 2-3 years\' experience in Shopping Centre Management / Leasing / Tenant Coordination. Preferably Executives specializing in tenancy management & Administrative. Knowledge of Property Management or Tenancy agreements Strong Interpersonal skills to build rapport and relationship with landlords and partners;
