Job Description


Roles & Responsibilities

Assisting the Manager to drive the overall product operations :

  • Assisting the manager in setting standards operation functions for effectiveness, control purpose, quality management and company\'s compliance.
  • Analyzing problems and investigating operation issues.
  • Manage and maintain effectiveness and efficiency. Supervise the team in supporting the Sales order and Purchase Order processing.
  • Ensure daily orders are being process within the agreed SLA. All enquiries sent to the team are being attended according to the agreed TAT.
  • Acting as middle person for PM, Sales, SC, Warehouse Logistic and Finance for any order related issue arise.

Assist in the monitoring of Purchase Order Processing, order fulfilment and coordination. Problem solving for ordering issue :
  • Coordinate the daily order processing, ensure accuracy and meeting SLA
  • Purchase Order processing and until approvals obtained
  • Inbound Shipment handling and coordination including
  • Custom clearance - payment of SST and Import duty.
  • Form E, Sirim, Import license, all related import documents all intact.
  • Work closely with warehouse on the storage of the inbound shipment.
  • Safe keep of all custom documents.
  • Order fulfillment for Drop shipment.
  • Monitor the SLA of Drop ship fulfillment. Managing POD return, coordinate with ops, ensure within the agreed SLA.
  • Speak to Forwarder, Agent and vendor on any delay in performance.
  • Report to Manager for any problem in the performance.
  • Document handling and order checking
  • Vendor Return Processing - Ensure Ops complete the full cycle of Vendor Return.
  • Problem solving for order processing related to Vendor quotes, Sales Order , JDE error, delivery issue or any other problem arises during the order fulfillment.
  • Report to Manager for assistance for any issue arises.
Product Master Data Maintenance including :


Check and balance, ensure accuracy and the team performance in below area :
  • New Item master creation
  • Landed Cost creation
  • Base Price update
  • Supplier Catalogue
  • Vendor Contract (VC) creation

Inventory Management :


Ensure below are processed on time and accurately :
  • Lot Transfer
  • Packaging
  • Cost Adjustment submission

Prepare and Review Activities Report including :
  • To ensure accuracy of below report submission to avoid from any discrepancy
  • Vendor Report
  • Internal Report - PO back log, Drop Shipment report
  • Update Freight & Tax for invoices receiving from forwarder and agent.
  • Check and review all outstanding activities, highlight to Manager for escalation

Facilitate Audit check, ensure effective controls and Audit result achieved :
  • Vendor Audit Compliance & Reconciliation
  • Internal Audit

Vendor Program and Tender Follow Up & Updates :

Staff On Job training, management and monitoring :
  • Monitor staff performance against the KPI set.
  • Study, plan and organize on job training. Provide direction and guidance, setting expectation, understanding and motivating the team member.
  • Develop staff capability through training (Subject to company approval).
  • To promote staff awareness, according to company policy set. Example, BCP Plan, Data Privacy Act, Risk Management, Code of Conduct and etc.
  • Manage on health and safety environment, documents security and backup systems.
