Job Scope & Responsibilities:
1. Mechanic Attendance & OT Claim
Record and verify daily mechanic attendance and job assignment. ? Prepare and compile monthly overtime (OT) claim sheet for approval.
Ensure OT claims are supported with job details and verified by the Service Manager.
2. Service Vehicle & Equipment Management ? Coordinate renewal of service vehicle road tax, insurance, and inspection (JPJ / Puspakom). ? Maintain and update the record of all company vehicles.
Arrange Puspakom inspection appointments and ensure all relevant documents are complete.
3. License, Agreement & Permit Renewal
Monitor and renew service-related agreements, licenses, permits, and contracts before expiry.
Keep a proper record of expiry dates and prepare reminders for renewal.
4. Service Billing & Parts Documentation
Coordinate with accounts to issue service invoices after job completion.
Verify job costings (labour, parts, transport, consumables) before billing.
Check and record parts invoices and ensure proper charge codes are used.
Assist in verifying parts requisition and usage for each job.
5. Petty Cash & Department Record
Manage petty cash usage for the service department and prepare monthly summary for reimbursement.
Ensure all expenses are supported by valid receipts and approved by the manager.
Maintain proper filing and record of all service-related payments and claims.
6. Report & Record Management
Maintain service database and update monthly service reports (jobs completed, claim progress, etc.).
Keep record of machine service history, inspection, and preventive maintenance schedule.
Assist in preparing reports, presentations, and meeting documents for the Service Manager.
7. General Administrative Support
Handle correspondence, data entry, filing, and office support for service team.
Maintain adequate stock of office supplies, forms, and consumables.
Perform any other duties assigned by superior or management
Job Type: Full-time
Pay: RM2,000.00 - RM3,500.00 per month
