A leading renewable energy firm is looking for a high-calibre candidate for a Special Officer to the Chairman job to support his daily work in a wide variety of areas, including preparation for meetings, development of presentation materials and speeches, and assisting in managing, planning and execution of key strategic events. This position reports directly to the Chairman.

About the Special Officer to the Chairman Role:
In this role, you will coordinating diversified confidential secretarial duties and provide administrative support and assistance to the Chairman, ensuring all aspects of the office are organised efficiently and effectively.

Key Responsibilities:

• Managing internal and external special projects in coordination with other departments and/or organisations on behalf of the Chairman
• Researching and preparing materials, policy briefings, talking points, speech drafts or presentations and proposals on a variety of workforce development matters for key internal or external audiences
• Corresponding and liaising with clients and all work-related organisations, this includes answering phone calls, taking messages, and writing correspondence emails and/or letters
• Assisting the Chairman in the company\'s project planning/business analysis and information/data collection (in ppt.) for better decision-making and problem-solving as assigned from time to time
• Scheduling and preparing materials and notes, and ensure follow-up for various stakeholder meetings including staff, Board, or other meetings
• Edit various documents including internal/external correspondence. Creates and maintains files, reviews drafts and finished documents for accuracy and grammar, including documents of a sensitive or confidential nature
• Participating in meetings, taskforces, and workgroups both internally and externally on behalf of the Chairman. Coordinating with the Executive Assistant to the Chairman to manage the Chairman\'s Office
• Providing analytical and specialised administrative support to relieve Executive of and/or assist with complex details and advanced administrative duties
• Assisting in coordinating activities between the agency and various outside parties including corporations, non-profit organisations, foundations, sub-grant recipients and local and state elected officials
• Assuming responsibility, in the Chairman\'s absence, for ensuring requests for action or information, which would normally receive the Chairman\'s attention are made known to responsible managers or personnel who can satisfy the request. Monitoring resulting activity for purposes of briefing the Chairman

To be successful in this Special Officer to the Chairman role, you must be a graduate from an Ivy League/Oxbridge institution and previously served as a Special Officer.

Key Requirements:

• Tertiary qualification in any field of study, preferably from an Ivy League/Oxbridge institution
• At least three years of experience serving as a Special Officer, ideally to a Minister
• Proven track record in managing multiple stakeholders (statutory authorities, local government, prosecutor, police, local community, press, etc.) is a plus
• Advanced knowledge of Microsoft Office Suite, including Microsoft Outlook, Word, Excel, and PowerPoint is required
• Possess strong business acumen, influential, operations process driven and focused on driving operations excellence
• Superior research, analytical, planning, organisational skills, and detail-orientation
• Strong Project Management skills and the ability to manage multiple projects, and competing priorities while adhering to deadlines
• Ability to resolve conflicts, visionary and possess the foresight to plan ahead for the business
• Excellent interpersonal skills with the ability to communicate effectively with internal and external stakeholders
