Job Description

The Warehouse Clerk / Admin is responsible for maintaining accurate warehouse documentation, updating inventory records, and providing administrative support to ensure smooth warehouse operations. This role acts as the link between operational staff and management by managing data entry, reports, and documentation flow.

Documentation & Record Keeping:

Prepare and maintain records for receiving, issuing, and transferring goods. Verify delivery orders, invoices, and packing lists for accuracy. File and archive warehouse documents for easy retrieval.

Data Entry & System Updates:

Enter inventory transactions into the Warehouse Management System (WMS). Update stock levels, GRN (Goods Received Notes), and shipment records promptly. Monitor system reports to detect and correct discrepancies.

Reporting & Analysis:

Generate daily, weekly, and monthly warehouse reports (e.g., stock movement, aging reports, inventory variance). Assist in preparing KPI reports for warehouse performance monitoring.

Coordination & Communication:

Communicate with the operations team to ensure documentation matches physical stock. Support supervisors in planning and scheduling warehouse activities

Compliance & Support:

Ensure all documentation complies with company SOPs, ISO, and audit requirements. Assist during stock counts by preparing count sheets and recording results. Support in training warehouse staff on documentation procedures.

What You Will Bring (Required Qualifications):

Minimum SPM / Diploma in Business Administration, Logistics, or related field. Possess 1-3 years of administrative experience, preferably in warehouse or logistics. Knowledge of inventory management systems and WMS is an advantage. Good organizational and multitasking abilities. Pro / advance in Microsoft Excel, Word & Power Point Attention to detail and accuracy in documentation. Able to work under pressure in a fast-paced environment. * Willing to work extra hours when required for reporting deadlines.
