Job Description


1. To attend all common facilities booking request and collect relevant charges for such request and / or to deal with any enquiries on bookings / lettings of common area capable of being let.
2. To receive and record all verbal and written complaints from the owners/occupants of the Development and ensure that all complaints being received are forwarded to the Operations Manager / Property Executive / Operations Executive (as the case may be).
3. To assist in obtaining quotation for any services / rectification works and prepare relevant documents for approval.
4. To compile all complaint record and follow up with relevant parties to ensure the case has been attended within the stipulated timeline in accordance to SOP to prevent potential public relations issue.
5. To assist in requisition of office stationeries, stocks and petty cash.
6. To maintain registration of contractors, suppliers and service contractors and assist in obtaining quotation for any services / rectification works and prepare relevant documents for approval.
7. To maintain an efficient and effective filing system including contract documents, service manuals, master listing for owners/occupants, contractual services, as-built drawings, etc.
8. To keep all correspondence records, index book, registration book, etc.
9. To assist Operations Manager / Operations Executive / Property Executive (as the case may be) in preparing work specifications and building works necessary, tender / quotation sourcing and calling for tender.
10. To assist the Operations Manager / Operations Executive / Property Executive (as the case may be) to summarize quotations / proposals received by suppliers / contractors / service providers to raise requisition of expenditure for further approval.
11. To monitor and ensure timely renewal of all licenses on/before due dates including but not limited to PMA lift certs, fire extinguisher, fire certs, etc.
12. To monitor and ensure that all service and maintenance contracts are reviewed on/before due dates.
13. To ensure that all records property particulars, drawings and list of inventories in the Development are being kept up to date.
14. To ensure all the relevant reports are being compiled timely and accordingly.
15. To also carry out general administrative & securities duties e.g: preparation official letters, preparation of notices, preparation of reminder letters, etc as and when necessary.
