Job Description


DUTIES & RESPONSIBILITIES

1. Scope and General Purpose of Job

1.1. Responsible for rendering administration services to the Operations side that includes typing letters, general correspondence and filling. Co-ordinates as directed by the Team Coordinator, Asst./Operations Manager invitation to meetings.

2. Financial Duties

2.1. Minimize office expenses by economically managing the available resources.

2.2. Ensure those operating stocks i.e Office Stationeries are available at all time for smooth flow of administration.

2.3. Utilizes modern technology by reduce usage of paper.

2.4. Arranging courier services on delivery of documents for in/out.

2.5. Updating all monthly invoices from supplier for submission.

3. Operational Duties

3.1. Assist ICT Department in cutting down the operations down time cause by both software and network system.

3.2. Assist Operations Manager in the preparation of certain tables, charts, diagrams, letters and general correspondence so as to display uniformity of written correspondence throughout the Operations Department.

3.3. Responsible for the security and upkeep of all Operations and Authorities correspondence files.

3.4. Inputs date into the computer and maintain computerized files.

3.5 Types and prints documents such as letters, memos, and reports.

3.6. Traces departmental documents so as to avoid misplacement and losses.

3.7. Answers and places telephone calls and arranges appointments for the Operations Manager and reminds him of it.

3.8. Maintains a dairy of appointment and meetings scheduled.

3.9. Takes meeting minutes, types and distribute them.

3.10. Ensures that administrative data input in the computer is done within the frame of corresponding policies and procedures.

4. Employee Handing

4.1. Preparing for scheduled meetings.

4.2. Shows concern for the well being of colleagues and subordinate employee by promoting team spirit.

4.3. Consult daily the employee notice board.

4.4. Treats all employees in courteous and professional manner.

5. General Duties

5.1. Response to change in department function, as may dictate by the department head and changes within the industry.

5.2. Liaise with Authority on matters related. Ex; Documents from authority, request from Authority.
