Job Responsibility Office Operations And Management Oversee and manage day-to-day office operations, ensuring a clean, organized, and professional work environment. Maintain office supplies and equipment, including inventory management and procurement. Coordinate office maintenance and repairs as needed. Implement and improve administrative processes and procedures to enhance operational efficiency. Ensure compliance with company policies and procedures. Administrative Support Provide administrative support to various departments, including scheduling appointments, managing calendars, and organizing meetings. Prepare and distribute memos, letters, reports, and other correspondence. Coordinate travel arrangements and logistics for employees. Assist in preparing presentations, documents, and reports. Handle incoming and outgoing communications, including phone calls, emails, and mail. Records And Documentation Management Maintain and update files, records, and databases accurately and securely. Create and maintain documentation, such as contracts, agreements, and policies. Ensure proper document control and confidentiality of sensitive information. Retrieve and provide requested information and documents in a timely manner. Assist in the organization and archiving of documents and records. Vendor Management Liaise with vendors and suppliers, obtaining quotes, negotiating contracts, and managing relationships. Maintain vendor records, including contracts, payment terms, and performance evaluations. Ensure timely payment of invoices and resolve any discrepancies. Monitor vendor services and quality to ensure compliance with agreements. Visitor And Guest Services Greet and assist visitors, ensuring a positive and professional experience. Manage visitor access, security, and visitor badges. Coordinate visitor scheduling and meeting room arrangements. Provide information and directions to guests and employees. Health And Safety Compliance Ensure compliance with health and safety regulations and procedures. Monitor and maintain emergency and evacuation plans. Report and address any safety concerns or incidents promptly. Coordinate workplace safety training and awareness programs. Job Requirements Min Education: SPM Proven experience in an administrative or executive support role. Excellent written and verbal communication skills. Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook). Familiarity with office management software and tools. Strong problem-solving and decision-making abilities.
