We are looking for an organized and self-motivated individual to provide general support and keep our business' operations running smoothly. The candidate should have good attitude, strong organizational and time management skills. You will be an essential part of our team, providing support to various departments, so a positive attitude and attention to detail are a must.

What you'll be doing
  • Work closely with the Office Lead to manage all office operational functions including delivery of support services by practice assistants (secretarial), conference center staff and office services
  • To oversee facility maintenance; serve as liaison with local property management and working with building personnel and appropriate internal contacts
  • Maintain office security protocol and ensure office meets proper business continuity obligations
  • Maintain office cleanliness; to supervise cleaner
  • Manages reception area and looks after visitors, monitoring logbook and issuing visitor badges
  • Manages phone calls and correspondence (e-mail, letters, packages etc.)
  • Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
  • Handles expenses and billing cycles, assists in purchase orders and invoicing
  • Maintains stock lists and orders office supplies and business-related items as needed
  • Manages outgoing post and records data on office related correspondence (letters, cheque, notice reminder etc.)
  • Photocopies, print and files appropriate documents as needed
  • To assist the direct debit registration- creating mandate via system
Qualifications

Qualifications
  • Diploma, Advanced/Higher/Graduate Diploma, Business Studies/Administration/Management or equivalent.
  • A minimum of 3 years working experience in office administration / management
  • Proven experience as an office administrator, office assistant or relevant role will be an advantage
  • Resilient to thrive in a complex environment.
  • Good at Microsoft Office skill.
  • Strong organizational and time management skills; ability to work with a high sense of urgency within established timelines exercising consistent follow-through/follow-up when necessary
  • Strong attention to detail and record keeping skills
  • Ability to Multitask
