1. Administrative Operations & Office Management
Oversee and manage all administrative functions including office operations, documentation, procurement of office supplies, and general upkeep.
Establish and implement efficient administrative systems, policies, and procedures to support business operations.
Monitor and ensure the maintenance of company premises, facilities, and assets (office, yard, and site-related facilities).
Manage contracts and agreements related to tenancy, utilities, office maintenance, and service vendors.
Ensure smooth daily administrative workflow between HQ, site, and project teams.
2. Staff Welfare & Support
Oversee and ensure proper management of workers' welfare including water, electricity, hostel conditions, and transportation arrangements.
Monitor and coordinate activities related to foreign workers, including permit applications, license renewals, hostel compliance, and government inspections.
Develop and implement welfare programs to enhance employee satisfaction and well-being.
Ensure all welfare-related facilities are compliant with company standards and local regulations.
3. Travel, Logistics & Transportation
Plan, monitor, and approve travel and accommodation arrangements for staff, ensuring adherence to company travel policies.
Supervise and optimize utilization of company vehicles, including scheduling, maintenance, insurance, and road tax renewals.
Coordinate with the logistics and transport team to ensure efficient movement of personnel, equipment, and materials between HQ and project sites.
4. IT & Asset Management
Oversee IT infrastructure management, including laptops, printers, networks, and software systems.
Coordinate with IT vendors for troubleshooting, maintenance, and implementation of new systems or upgrades.
Ensure data security, software license compliance, and smooth integration of technology across departments.
Maintain comprehensive records of company assets, ensuring accountability and proper asset lifecycle management.
5. Licensing, Documentation & Compliance
Monitor and ensure timely renewal of all company licenses, including business registrations, vehicle permits, insurance, CIDB, and other regulatory requirements.
Review and approve administrative documentation such as PRs, travel forms, and vendor agreements.
Support management during audits, inspections, and compliance reviews.
Ensure all records and documents are organized, updated, and easily accessible for reference.
6. Leadership & Supervision
Lead and supervise the Admin team, providing guidance, performance evaluation, and task delegation.
Develop the team's competencies through training and mentoring to ensure high efficiency and professionalism.
Foster cross-department collaboration and maintain strong communication with project and HR departments.
7. Ad-Hoc Responsibilities
Assist management in handling special assignments, events, or urgent operational requirements.
Perform any other duties as assigned by top management to ensure overall operational efficiency.
