Admin & Sales Support Executive

Job Description


Main Objective: To provide direct and ongoing administrative support to the Sales team in the ongoing development of existing and prospective clients to ensure that the department is able to meet its growth targets. Key Duties & Responsibilities: Invoice & Document Management: Prepare and maintain invoices, delivery orders, credit notes, debit notes, and price list updates in compliance with company policies. Sales Support & Order Management: Collaborate with the sales team to assist customers, provide pricing and stock availability information, and manage order requisitions and updates. Sales Data & Billing: Maintain accurate sales records, manage customer databases, and process orders and billing promptly. Generate order reports daily to communicate to the Top Management on the order status and coordinate monthly forecast with sales team. Task Coordination: Schedule and coordinate with other departments to ensure sales, marketing, queries, and deliveries are handled efficiently. Filling & Records Management: Developing and maintaining filing systems so as to maintain sales records, prepare reports, and provide financial information to the finance department. Monitor and manage debtors list by sending reminders of payment due dates & customer credit issues to relevant sales person or customers. Ad-hoc Tasks: Assist with miscellaneous assignments to enhance department efficiency. Requirements (Qualifications, Experience, Skills/Competency) Qualification: At least a Diploma/Degree in Business Administration or equivalent. Experience: At least 1-2 years of experience in a manufacturing industry, demonstrating a strong understanding of administrative and sales support functions. Fresh graduate will also be considered. Computer Skills: Proficiency in computer applications, including familiarity with SAP Systems or other ERP Software and Microsoft Office Suite. Independence: Ability to work independently with minimal supervision, showing initiative in completing tasks accurately and on time. Punctuality: Strong time management skills, punctuality, and reliability in meeting deadlines and commitments. Professionalism: Possess a positive working attitude, good personality, and a strong sense of responsibility, self-discipline, and dedication to work. Communication Proficiency: Conversational fluency in English & Bahasa Malaysia for effective team and client interaction. Willing to work in the factory located in Chemor, Perak. Some business travel may be required.
