Job Description

Position:

Admin Trading

Location:

One South, opposite MRT station near Sungai Besi toll

Key Responsibilities:



1. Sourcing & Supplier Support

Assist in sourcing products/materials from local and overseas suppliers. Search and compare suppliers via platforms (e.g. Shopee, Lazada, Alibaba, direct suppliers, existing vendor list). Request quotations (RFQ), samples, catalogues, and specifications from suppliers. Maintain and update supplier database, including pricing, MOQ, lead time, and terms. Assist in identifying alternative suppliers when required.
2. Price Comparison & Costing

Prepare price comparison sheets for management review. Track market pricing and cost changes for existing products. Assist in basic costing calculations (product cost, logistics, margin estimation). Update price lists and cost records regularly.
3. Purchase & Order Coordination

Prepare Purchase Orders (PO) based on approved quotations. Follow up with suppliers on order confirmation, production status, and delivery timeline. Coordinate with logistics/warehouse on incoming goods and delivery schedules. Monitor order status to ensure timely delivery.
4. Documentation & Records Management

Maintain proper filing of quotations, POs, invoices, delivery orders, and supplier agreements. Update trading records, order logs, and transaction trackers. Ensure documents are complete and easily retrievable for audit or reference.

Qualifications:



Minimum Diploma in Business Administration, Office Management, or a related field. Experience in administrative support related to contract documentation or tendering is an added advantage. Basic understanding of procurement procedures Detail-oriented with the ability to assist in reviewing and organizing contract-related documents. Good communication and interpersonal skills to coordinate with internal departments, suppliers, and clients. Able to handle multiple tasks and assist in tracking deadlines and document submissions. Proficient in Microsoft Office (especially Word and Excel); experience with contract or document management systems is
