JOB RESPONSIBILITIES:

Support of the design process (Autocad)
  • Basic design works (offices set up, ...)
  • P&ID's - Process and instrumentation diagrams - design work
  • Attendance to relevant progress / design reviews with overseas teams
All-round administrative tasks
  • Welfare, stationery supplies
  • Purchase Requisitions, Goods Receipt, Handover documents, documentation; car & phone bills; processing in SAP.
  • Tracking of payments
  • Travel & bookings
  • Timesheets control and management
Reports preparation and ownership
  • Template creation and ownership
  • Data collection with relevant engineers, monthly report release
  • Possible in depth reports : Timing / progress, budget, etc.
  • Assist and support process improvement.
Management of documentation
  • Supporting documents for tendering and PO (confidentiality, relevant doc package per plant like FFU, specific HSE, industrial standards)
  • Project documentation, HSE,
  • Final documentation and drawings, certification: control except technical part.
Purchasing
  • Bids comparison
  • Preliminary negotiation (levelling of quotes, adequacy with timing and delivery conditions)
Expediting
  • Progress analysis based on dedicated project template
  • Document and information collection with suppliers (Timing, sourcing, quality procedures and controls, ... non-technical items)
JOB REQUIREMENTS :
  • MS Office, ERP software, and intermediate knowledge of Autocad.
  • Good communicating and writing skills in English is a must.
  • Bahasa Melayu and Chinese Mandarin an additional advantage.
  • Organised, polyvalent, proactive, good time management and teamwork.
  • 5 years experience
