We are seeking a proactive and detail-oriented Office Administrative Executive to support our project operations and office management. This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating across teams, and has a knack for keeping things running smoothly behind the scenes.
You'll be instrumental in supporting project documentation, scheduling, procurement coordination, and internal workflows
Key Responsibilities
Manage day-to-day administrative tasks including filing, correspondence, and document control
Assist in preparing project proposals, quotations, and reports
Coordinate meetings, schedules, and follow-ups with internal and external stakeholders
Support procurement processes, including liaising with clients
Maintain digital filing systems and ensure accurate record-keeping
Monitor project timelines and assist in task tracking and deadline management
Help implement and maintain HR workflows (e.g. leave applications, approvals)
Provide logistical support for events, site visits, and client meetings
Ensure smooth office operations and uphold professional standards
Requirements
Diploma or Degree in Business Administration, Management, or related field
Minimum 1 years of experience in administrative or project coordination roles
Strong proficiency in Microsoft Office and Google Workspace tools
Excellent organizational and multitasking skills
Strong written and verbal communication in English and Malay
Ability to work independently and handle confidential information
Experience in event planning, procurement, or HR systems is a plus
