Manage operating departmental budgets and costs according to annual allocation to ensure efficient usage of resources, where applicable
Manage admin utilisation, operations and maintenance in business premises in accordance to DKSH\'s policies and procedures, regulations and agreed service levels
Manage overall maintenance and cleanliness of office premises, equipment upkeep schedule and asset control to provide safe/efficient working environment for employees
Manage execution of organization\'s administration and support services policies and procedures as well as daily administration and support services delivered to business operations in accordance to agreed service level standards (e.g. company credit card, petrol card, receptionist, dispatch, etc)
Developing continuous improvement plans or initiatives to new/existing administration and support service processes delivered to operations
Plan and manage building/premises services in business operations (e.g. maintenance records, security/safety checks, office administration, cleaning, catering, waste management and disposal procedures with environmental laws and government regulations, etc.)
Manage/review space planning, allocation and utilization of existing/new business premises and allocate optimal resources to maximize efficiencies and productivity
Develop and manage cost controls and process improvement activities related to facility management benchmarking industry trends
Develop premises safety, security and risk management plans with internal stakeholders in alignment with DKSH\'s internal policies and procedures (e.g. access card management, electrical wirings, cold room management, air conditioning, plumbing, waste management, etc.)
Develop periodical facility inspection/assessment plans for business premises and assets (e.g. furniture, utilities, transport services, equipment, etc.)
Build relationship with government agencies and regulatory bodies on updates/matters related to building/facility safety, health and environment (SHE) requirements
Monitor admin management work progress and service level with external vendors and follow-up on issues to drive completion
Ensure accurate, timely documentation and closure or eventual correction and prevention of incidents and accidents.
Guide team to ensure effective delivery of team\'s goals
Manage and oversee the team\'s delivery of team/function goals to drive execution against goals set
Drive and manage learning and development of team in the area of Management, Facility as well as in the area of General Administration and DKSH behaviors to achieve team/function goals
Drive self-learning and improvement in the area of Facility Management Health, Safety and Environment (HSE) as well as in the area of General Administration and DKSH behaviors as part of continuous learning
Job Requirements:
Candidate must possess at least a Bachelor\'s Degree, Post Graduate Diploma, Professional Degree, Business Studies/Administration/Management or equivalent.
Minimum three to five years experience in a similar role
Preferably Senior Executives or Assistant Manager specializing in Office Administration and Facility Management or equivalent.
Demonstrate understanding and application of local regulations into the company\'s facility management systems and processes
Demonstrate advanced project management skills
Demonstrate proficiencies in office productivity tools (e.g. Excel, Word and PowerPoint)
Demonstrate fluency in English, both written and spoken
