POSITION : Assistance, Office Administration (JG4)

NAME OF STAFF : Vacant

REPORTING TO : Head of Sabah Asset Section (PLO/S)

DIVISION/DEPARTMENT : Sabah Asset Section (PLO/S)

LOCATION : Kota Kinabalu

  • KEY OBJECTIVES
  • Responsible to provide assistance in general office administration, support services and transportation services for PTTEP personnel on business travel / crew change in Kota Kinabalu, Sabah.
  • PRINCIPAL ACCOUNTABILITIES
  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Manage agendas/travel arrangements/appointments etc. for the senior management visit, or any other company\'s event.
  • Manage phone calls and correspondence (e-mail, letters, packages, filling system, monitoring clerical functions etc.)
  • Create and update records and databases with personnel and information, bookkeeping, other data
  • Track stocks of office supplies and place orders when necessary
  • Submit timely reports and prepare presentations/proposals as assigned
  • Assist colleagues whenever necessary
  • Provides historical refence by defining procedures for retention, protection, retrieval, transfer, and disposal of records
  • Designs and implements office policies by establishing standards and procedure, measuring results against standards, and making necessary adjustments.
  • Keep management informed by reviewing and analyzing special reports, summarizing information and identifying trends.
  • Ensure safe transportation for PTTEP employee during crew change & business related travel.
  • Provide support on any SSHE related activities to ensure PTTEP KK office in compliance with SSHE requirements.
3. KEY AUTHORITIES
  • Ensure SSHE compliance especially on safety & security of KK Office & transportation of personnel during business travel.

  • QUALIFICATIONS AND EXPERIENCE
Mandatory
  • Minimum SPM or equivalent.
  • Minimum 5 years\' relevant working experience.
  • Ability to communicate effectively in English and Bahasa Malaysia; good oral and written skills.
  • Working knowledge in Microsoft Office (Word, Excel, Powerpoint) is an advantage.
Desirable
  • Oil and gas industry experience.
