Quotation and Tender Management:
Help prepare and issue
Request for Quotations (RFQs)

Request for Proposals (RFPs)
, and tender documents specifically for construction projects.
Supplier Engagement:
Communicate with suppliers to obtain competitive pricing, product specifications, lead times, and delivery schedules.
Purchase Order Processing:
Create and process
Purchase Orders (POs)
accurately and promptly for project requirements.
Inventory and Site Coordination:
Coordinate with site teams and project managers to understand material needs, delivery timelines, and potential shortages.
Logistics Support:
Assist in tracking and expediting deliveries to ensure materials arrive on construction sites as scheduled, minimizing project delays.
Invoice Reconciliation:
Reconcile invoices with purchase orders and delivery orders, resolving discrepancies with suppliers and the finance department.
Vendor Management:
Maintain and update a comprehensive database of approved suppliers, including their performance, pricing, and capabilities relevant to construction.
Market Research:
Conduct market research to identify new suppliers, innovative materials, and cost-saving opportunities within the construction industry.
Contract Administration Support:
Assist in maintaining procurement records, including contracts, POs, and supplier correspondence.
Compliance:
Ensure all procurement activities comply with company policies, project budgets, and industry regulations.
Reporting:
Prepare procurement reports, including spending analysis for specific projects and material categories.
General Support:
Perform other administrative and support duties as assigned by the Procurement Manager or Senior Procurement Officer.
Qualifications
Education:
Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Commerce, Civil Engineering, Quantity Surveying, or a related field.
Experience:
1-2 years of experience in procurement, purchasing, or a related administrative role, ideally within the
construction, engineering, or manufacturing sectors
. Fresh graduates with relevant internships are encouraged to apply.
Skills:
Proficient in Microsoft Office Suite (Word, Excel, Outlook); strong
Excel skills
are particularly valuable for data analysis and tracking.
Familiarity with procurement software or
ERP systems
(e.g., SQL, etc.) is a plus.
Basic understanding of construction materials, equipment, and related services.
Strong negotiation and cost-saving mindset.
Excellent written and verbal communication skills in English and Bahasa Malaysia.
Ability to read and understand technical specifications or drawings is an advantage.
Exceptional organizational skills and meticulous attention to detail.
Proven ability to work effectively under pressure and manage multiple priorities.
