Experience handling dynamic rates and using Channel Manager systems
Familiarity with OTA platforms (Booking.com, Agoda, Expedia, etc.)
Hands-on experience with PMS (Property Management System)
Responsibilities:
Supervise the day to day operation of Reservation Department
Optimise occupancy of the hotel and average rate by monitoring room availability forecasts and implementing upsell programme
Plan room sales according to room type and process booking, cancellations, amendments and special requests. Maintain accurate record of reservation correspondence, pre-allocate rooms when appropriate
Ensure that arrival reports are checked daily and departments are notifies of special requirements
Keep an up-dated record of all rate categories, promotion period and rate contracts
Responsible for all conference and conventions accommodation bookings. Ensure information is forthcomimg from Sales and Marketing, billing requirements are setup and information is accurate. Establish close rapport with Food & Beverage Manager
Able to type confirmation slip and file reservation slip
Able to send reservation confirmation requests form upon request by fax or email
Plan and implement up-to-date reservation techniques and operational procedures, training of relevant areas when necessary
Attend department meetings and training sessions when required
Ensure method of payment on all reservation is in accordance with Nilai Springs Resort Hotel's credit policies
Produce accurate reservation forecast and statistical report as required
Maintain travel agency commission and liase with Accounts department
Process NO-SHOW reports and raise charges if required
Ensure hotel policies and procedures are adhered to at all time. Standards of personal hygiene, uniform and name tags as outlined in the staff handbook
To ensure and coordinate all valid group and tour series are loaded, correspondence is accessible and contracts complete and understand
Request group final status within parameters agreed in the contract and upon receipt amend appropriate blocking to enable accurate occupancy for the Management, ensure group wash is accurate
Establish a system of control of all incoming and outgoing correspondence and allocate work according to priorities
Prepare group profiles including special requirements, correspondence folders and file appropriately
Prepare weekly meals requirement summaries for group or travel agent and distribute to all relevant food and beverage outlets
Liase and maintain a professional working relationship and rapport with the Inbound Operators
Maintain a close liaison with Sales personnel and Front Office Manager with respect to special requirements and request for group business
Assist the Front Office Manager with his forecasting by providing actual materialization statistics and anticipated materialization figures
Assist reception staff when required
JOB REQUIREMENTS:
Diploma or Bachelor's Degree in Hospitality Management, Business Administration, or a related field.
At least 3 years working experience in reservations related operations, with at least 2 years of managerial experience.
Additional training in Revenue Management, Reservations Systems, or Customer Service will be an advantage.
Good communications and problem-solving skills.
Ability to work independently and handle multiple tasks in a fast-paced environment.
Willing to work in Putra Nilai.
