We have an exciting opportunity for you to join our team as Associate, Payment & Treasury. Reporting to the Assistant Manager, this full-time and permanent position is based in Iskandar Puteri, Johor Bahru, Malaysia and offers regional coverage, allowing you to make a significant impact to our Payment & Treasury and its\' growth.

Key responsibilities:

  • Oversee and maintain accurate vendor information and invoice records utilizing an invoice management system (NetSuite).
  • Manually input vendor, invoice and other information into NetSuite as required.
  • Perform regular update and ensure the accuracy of vendor information in NetSuite.
  • Conduct data accuracy checks on NetSuite to verify alignment with actual invoice details.
  • Verify accuracy and completeness of invoices.
  • Review invoices against project budgets and vendor engagement letters to ensure accurate billing and alignment with contractual agreements.
  • Manage invoice approval workflows and coordinate with stakeholders to obtain payment/settlement approvals in accordance with the Service Level Agreement (SLA) and Turn-around Time (TAT)
  • Conduct duplicate checks to prevent any duplicate processing of invoices.
  • Perform call backs to vendors as a part of the verification process for bank details and fraud prevention measures.
  • Proactively manage day-to-day client and vendor relationships, addressing queries professionally and in a timely manner.
  • Generate and submit a weekly report detailing outstanding invoices to the client.
  • Any other ad-hoc non-vendor task related to payment and associated processes that are assign by the Manager.
Key requirements:
  • Possess 3 years to 4 years of experience in invoice management is a MUST and preferably in a client-service environment.
  • Knowledge on using NetSuite tool or any similar Invoice or AP Management tool is a MUST and the candidate must be able to take up this work independently with minimal training provided.
  • Focused and meticulous, with a keen eye for detail.
  • Able to work under time pressure in a fast-paced working environment.
  • Able to multitask and manage multiple priorities that often has deadlines imposed.
  • A fast learner who can adapt to changes and be flexible in accepting changes whenever is required on the job.
  • Take personal responsibility and ownership of the work that has been assigned and has 0% error tolerance.
  • Excellent interpersonal, written, and verbal communication skills in English are essential as you will need to have liaison with the external clients.
  • Collaborative team-player working in a dynamic organization and able to build bridges between different stakeholders within the organization.
  • Possess positive attitude towards solving problems and ability to think out of the box.
  • Possess a bachelor degree in any related field of study that relates to the above job key responsibilities requirement.
