Responsibilities:
The division is responsible for organizing meetings and conferences (both physical and virtual) for the medical community in Asia and beyond. The role of a Conference Manager is to lead the team working on an event to great success.
Execution of Regional and Local physical/virtual/hybrid events
Meet with client to obtain a detailed brief and understanding of requirements
Venue-searching to meet client expectations
Provision of proposed venue report, with detailed comparison chart
Liaison with hotel regarding contract & arrangements
Preparation of action plan, including detailed timelines and budget planning
Communication with regional & local offices of client company re delegate attendance
Provision of regular status report to client, including delegate registration
Liaison with invited speakers & VIP guests (travel, accommodation, special requirements)
Liaison with internal editorial, design and production teams to produce event materials (invitations, backdrop, quick-stands, abstract books)
Liaison with contractors
Liaison with technical contractors for virtual events
On-site leadership of team, including team briefings
Overall supervision of event:
o Meet & greet
o Audio-visual
o Room set-up
o Scientific program
o Welcome letters/departure information
o Social functions: F&B, transport arrangements
Provision of budget report on completion of event
Requirements:
University degree
Proactive and well organized
Excellent communication and negotiation skills to work with clients and suppliers
Detail-oriented
Team player and proven ability to be a leader
At least 5 years' experience in meeting/conference management, preferably with pharmaceutical event background
Experience in preparation of budget reports
Experience in organizing virtual events is a plus
Flexibility in working hours
Ability and willingness to travel
Flexible and actively seeking to acquire new knowledge and skills
