Job Scope & ResponsibilitiesPrimary Coordination ActivitiesBidding Process Support

Assist in preparing and organizing tender documents and bid packages

Coordinate with vendors and suppliers regarding bid submissions

Track bid deadlines and ensure timely submissions

Support bid evaluation processes by organizing documentation



Document Management & Compilation

Compile and organize procurement-related documents and contracts

Maintain vendor databases and contact information

Prepare presentation materials and reports for internal meetings

Update and maintain procurement tracking spreadsheets and databases



Administrative Support

Schedule and coordinate meetings with vendors and internal stakeholders

Assist in vendor registration and qualification processes

Support contract administration activities

Handle routine correspondence and communications



Research & Analysis SupportConduct market research on potential suppliers and service providers

Assist in vendor performance evaluation and reporting

Support cost analysis and benchmarking activities

Advanced Excel, Word, and PowerPoint skills

Basic understanding of data organization and maintenance

Comfortable with procurement software and online platforms

Ability to conduct thorough market and vendor research

Professional QualitiesReliability:

Consistent performance and meeting deadlines

Confidentiality:

Understanding of sensitive commercial information handling

Adaptability:

Flexibility to support various procurement activities as needed

Problem-Solving:

Analytical thinking to identify issues and propose solutions

Professional Ethics:

Understanding of procurement best practices and compliance

Educational BackgroundCurrently pursuing or recently completed degree in Business Administration/Management, International Business, Supply Chain, Finance, or related field

Basic understanding of procurement principles preferred but not required

Previous internship or work experience in administrative roles advantageous

Learning OutcomesThis internship will provide hands-on experience in:

Commercial real estate management services (REMS) procurement processes

Vendor management and relationship building

Contract administration fundamentals

Data analysis and reporting

Professional business communication

Project coordination and time management

Help maintain procurement policies and procedures documentation
