Provide secretarial support to the General Manager including screening of telephone calls, scheduling of meetings, and appointments, management of email correspondences and preparing reports and minutes for meetings.
Handles expenses claims, travel arrangements and errands for General Manager.
Assist General Manager in dealing with VIP guests / client from locol / others countries on accommodation and transportation arrangements.
Assist in screening all incoming calls and transfer them to the related department according to the business needs.
Process and liaise with courier companines on all matters pertaining to delivery and receiving of documents.
Provide department support to track identified tender opportunities, track participation, alert tender submission deadlines, and review wins/lossess.
Maintain proper filling system and proper record keeping of information.
Handling office improvement projects, planning and implementing office systems, layouts, and office policies.
Plans and schedules weekly inspection on the office facilities to identify and implement maintenance works, perform preventive maintenance on equipment.
Supervise cleaning crew and cleanliness of the office space.
Track and replace office supplies as necessary to avoid interruptions such as pantry refreshments, stationeries, courier services, and cleaning tools/ equipment.
Assist HR department in office celebrations/ events and training collaboration on venue and food arrangements.
Other ad-hoc duties assigned by the superior.
Qualifikation
Minimum Diploma in a relevant field with at least 2 years of work experience in secretarial, admin coordiniation and/or operations support.
IT literacy with good skill on using MS words, Power Point and Excel and able to generate Business Intelligence report using SAP System.
Well organized and able to multi-task in a fast paced environment
Tactful and service-oriented individual who possess initiative, strong planning skill in managing schedules and delivering deadlines
Meticulous, efficient, resourceful, good internpersonal skills with can-do attitude.
