Job Scope:
A Customer Service Representative in an international NVOCC (Non-Vessel Operating Common Carrier) shipping company plays a crucial role in ensuring smooth communication between customers, agents, and internal teams. Their responsibilities include:
1. Customer Interaction & Support
Act as the primary point of contact for customers regarding bookings, shipments, and inquiries.
Provide accurate information on freight rates, transit times, documentation requirements, and shipment status.
Address and resolve customer complaints, delays, and disputes professionally.
2. Shipment Coordination & Documentation
Process bookings and confirm shipment schedules with carriers and agents.
Ensure timely issuance and verification of Bill of Lading (B/L), shipping instructions, and customs documentation.
Coordinate with internal teams (operations, finance, and sales) for smooth cargo movement.
3. Handling Freight & Logistics Operations
Monitor shipments and provide real-time updates to customers on vessel schedules, container tracking, and delivery status.
Assist in handling delays, rollovers, or changes in shipping plans.
Work closely with overseas agents, carriers, and port authorities to resolve operational issues.
4. Problem Resolution & Claims Handling
Investigate shipment discrepancies, lost cargo, or damages, and guide customers on claims procedures.
Coordinate with insurance providers or legal teams when necessary.
5. Customer Relationship Management & Service Enhancement
Gather customer feedback to improve service quality.
Support sales teams by providing necessary customer insights and data.
6. Compliance & Industry Regulations
Ensure all shipments comply with international shipping regulations (FMC, IMO, Customs, etc.).
Stay updated on trade regulations, tariffs, and restrictions for various countries.
7. Coordination with Finance & Billing
Assist customers with invoice clarifications, freight charges, and payment follow-ups.
Ensure all shipping documentation aligns with billing requirements to avoid disputes.
