Job Description


JOB PURPOSE To assist the Assistant Manager, Exams & Results Unit / Academic Staff in the smooth running of the exam matter, maintenance of the quality of its services. The AE is also to provide assistance and support in academic matters, including adherence to academic policy, academic record maintenance and database management. The main responsibility will be for the Examinations & Results Unit, and he/she is the staff will be responsible for School of Media and Communication, School of Hospitality, Tourism and Events, School of Food Studies and Gastronomy, Psychological degree, MBBS, School of Pharmacy and IIMS Franchise Programme. KEY RESULT AREAS / RESPONSIBILITIES 1. Before the examination . Prepare the exam listing. . Monitoring and ordering the examination materials. . Follow up the documents from academic staff before the examination (Exam Materials Requisition form, Exam Conduct form and Exam Question papers). . Set up the examination trays for all examinations (count and pack the exam papers and exam answer scripts). . Correspondence to partner university staff for exam matters. . Prepare various forms and materials used in the administration of the programme. 2. During the examination . Ensure the examination hall is in good condition and the examination run smoothly. . Invigilation duty (when necessary, during alternative examination). . Standby at Exams & Results Unit office (for students\' or invigilators called up for medical case, late for examination and any special case). 3. After the examination . Assist in counting answer scripts after the examination. . Clean up the examination tray. . Assist in scanning multi-purposes choice answer sheets. . Sort the answer scripts / assignments and store according to requirements. . Monitor the answer scripts / assignments for moderation purposes for all the programmes. . Taking minutes during the School Board of Examiner\'s Meeting. . To assist in up-keeping of the Parent and Student Portal. . To carry out the simulation of award classification for School of Media and Communication students. . Follow up with lecturers for those pending submission of results submission and Examiner report. 4. Customer service . Handle enquiries from students. . To hand over the previous batch of academic progress reports / academic transcript / certificate to Campus Central. 5. Preparation before School Board of Examiner\'s (SBOE) Meeting . Compile and prepare the files for BOE meeting. . Checking the mark sheet. . Compile and update the individual subjects after SBOE meeting. . Prepare the summary of the grade distribution and statistical report after the SBOE meeting. Others . Monitor and up-to-date academic noticeboards for all the programmes. . Assist in shred unwanted answer scripts, assignments and all the private and confidential documents. . Preparing the documents and reports required by the MOHE as and when required. . Preparing the documents and reports required by Audit purpose as and when required. . Undertake any other duties that may be assigned from time to time by the Management of the University. Good working attitude JOB SPECIFICATIONS Minimum Qualifications . Degree or equivalent Related Experience . At least one (1) year of working experience in the same capacity . Knowledge of and skills in using computer soft skills . Good team player .
